How to Set Up Your Email Accounts

Professional email hosting is available with all UncleBTech hosting plans for just £1 per mailbox per month. This guide will walk you through creating email accounts and connecting them to your favorite email clients.

Creating Your First Email Account

Step 1: Access Your Control Panel

  1. Log into your client portal at https://my.uncleb.tech
  2. Navigate to "Services" and select your hosting package
  3. Click "Manage" to access your Enhance CP control panel
  4. Look for "Email" or "Mail" in the main menu

Step 2: Add Email Account

  1. Click "Email Accounts" or "Create Email"
  2. Choose your domain from the dropdown (if you have multiple)
  3. Enter the desired email username (e.g., "hello" for hello@yourdomain.com)
  4. Set a strong password (we recommend using a password manager)
  5. Allocate storage (2GB included, more available if needed)
  6. Click "Create Account"

Tip: Create a few essential accounts first: hello@, support@, and your personal name. You can always add more later as your business grows.

Email Client Configuration

Once your email account is created, you can access it through webmail or configure it with your preferred email client.

Webmail Access (Easiest Option)

IMAP Settings (Recommended)

Use these settings for Outlook, Apple Mail, Thunderbird, or mobile devices:

Incoming Mail (IMAP):

  • Server: mail.yourdomain.com
  • Port: 993
  • Security: SSL/TLS
  • Username: Your full email address
  • Password: Your email password

Outgoing Mail (SMTP):

  • Server: mail.yourdomain.com
  • Port: 465 (SSL) or 587 (STARTTLS)
  • Security: SSL/TLS
  • Authentication: Yes
  • Username: Your full email address
  • Password: Your email password

POP3 Settings (If Required)

Incoming Mail (POP3):

  • Server: mail.yourdomain.com
  • Port: 995
  • Security: SSL/TLS
  • Username: Your full email address
  • Password: Your email password

IMAP vs POP3: We recommend IMAP as it syncs your emails across all devices. POP3 downloads emails to one device only.

Setting Up Popular Email Clients

Microsoft Outlook (Desktop)

  1. Open Outlook and go to File → Add Account
  2. Select "Manual setup or additional server types"
  3. Choose "POP or IMAP"
  4. Enter your name and email address
  5. Select "IMAP" as account type
  6. Enter the IMAP and SMTP settings from above
  7. Click "Test Account Settings" to verify
  8. Click "Next" and "Finish"

Apple Mail (Mac/iPhone/iPad)

  1. Go to System Preferences → Internet Accounts (Mac) or Settings → Mail (iOS)
  2. Select "Add Other Mail Account"
  3. Enter your name, email address, and password
  4. Mail will try to auto-configure (this usually works)
  5. If manual setup is needed, enter the IMAP/SMTP settings
  6. Click "Sign In" or "Done"

Gmail (Using Gmail Interface)

  1. In Gmail, click the gear icon → "See all settings"
  2. Go to "Accounts and Import" tab
  3. Click "Add a mail account" in the "Check mail from other accounts" section
  4. Enter your email address and click "Next"
  5. Select "Import emails from my other account (POP3)"
  6. Enter the POP3 settings and click "Add Account"
  7. Choose whether to send mail as this address

Android/iPhone Mail Apps

  1. Open your device's mail app
  2. Select "Add Account" → "Other"
  3. Enter your email address and password
  4. The app will usually auto-configure
  5. If manual setup is needed, enter IMAP/SMTP settings
  6. Complete the setup and start using your email

DNS Records and Advanced Setup

If you're managing your own DNS or need to set up email with external providers, you'll need these records:

Required DNS Records

MX Record:
Priority: 10
Value: mail.yourdomain.com

A Record:
Name: mail
Value: [Your server IP - provided in control panel]

CNAME Records:
webmail → mail.yourdomain.com
smtp → mail.yourdomain.com
imap → mail.yourdomain.com

SPF Record (Recommended)

Add this TXT record to improve email deliverability:

Name: @
Value: "v=spf1 include:yourdomain.com ~all"

DKIM and DMARC (Advanced)

For enhanced email security and deliverability:

  • DKIM: Available in your control panel under "Email Authentication"
  • DMARC: We can help set this up for business accounts

Troubleshooting Common Issues

Email Not Sending

  1. Check SMTP settings - Ensure port 587 or 465 is used with SSL/TLS
  2. Verify authentication - Make sure your email client is using your full email address as username
  3. Check firewall - Some networks block email ports; try port 587 instead of 465
  4. Test webmail - If webmail works but your client doesn't, it's a configuration issue

Email Not Receiving

  1. Check spam folder - New email accounts sometimes get flagged initially
  2. Verify MX records - Use a tool like MXToolbox to check your domain's MX records
  3. Check storage quota - Ensure your mailbox isn't full
  4. Test with webmail - Send a test email to your new account

Can't Access Webmail

  1. Check URL - Should be https://webmail.uncleb.tech
  2. Clear browser cache - Sometimes cached redirects cause issues
  3. Try different browser - Rule out browser-specific problems
  4. Check SSL certificate - Ensure your domain's SSL is active
